Privacy Policy

This policy explains how TrainGrid (traingrid.com.au) collects, uses, and protects personal information when you use our websites, dashboards, booking pages, and (where available) mobile apps.

Who we are

TrainGrid is operated for Australian studio operators and their clients. Contact: privacy@traingrid.com.au.

Information we collect

  • Account details: name, email, phone, role (owner, staff, client, or client).
  • Business details: studio name, address, timetable, offerings, and branding you upload.
  • Booking and attendance records for clients you manage or book for.
  • Payment metadata (amounts, invoice status, Stripe payment IDs). Card numbers are handled by Stripe — we do not store full card data.
  • Technical logs: IP address, device/browser type, and basic usage events needed to secure and operate the service.
  • Optional marketing preferences (MailerLite) when you opt in.
  • On the TrainGrid mobile app: camera access only to scan trainer QR codes; images are not stored.

How we use information

  • Provide accounts, booking, scheduling, invoices, and attendance.
  • Process payments via Stripe Connect to each connected business.
  • Send transactional email (confirmations, invoices, password reset).
  • Provide support and improve reliability and security.
  • Send marketing only where you have opted in.

Sharing

We share data with processors who help us run the product: Supabase (database/auth), Stripe (payments), Brevo (transactional email), MailerLite (optional marketing), and hosting/DNS providers. We do not sell personal information. Staff of a studio only see data for their own tenancy.

Retention

We keep account and booking records while your account is active and for a reasonable period afterward for legal, accounting, and dispute purposes. You may request deletion subject to those obligations.

Security

Access is protected with authentication, encrypted transport (HTTPS), and database row-level security separating tenants. No method of transmission is perfectly secure; please use a strong unique password.

Your rights

Under the Australian Privacy Principles you may request access to, or correction of, personal information we hold about you. Contact privacy@traingrid.com.au. If you are unhappy with our response you may contact the Office of the Australian Information Commissioner (OAIC).

Children

TrainGrid is used by businesses that may enrol minors. Guardian or parent accounts manage child profiles. We do not knowingly market directly to children.

Changes

We may update this policy. The “Last updated” date will change when we do. Continued use after changes means you accept the updated policy.
